Task 1 - Pre-production documents evaluation

Before I created my advertisement i had to first plan my pre production documents this included, the proposal, production schedule part one, production schedule location visit, production schedule call sheet, production schedule contact details, contingency plan, Risk assessment, production budget and production diary. All of these help me plan out my advertisement and helped make it go according to plan. I am going to explain how each of them helped me through my planning and filming of my product.

Production schedule part one

This lets me know what dates I started my work and the dates I have completed them. This was helpful because it lets me know what I done and when, and how to date my work to put it in order, I can refer to this for help, so therefore I found it very helpful.

This document is also useful for the client to able to see when each stage of the production is going to be completed, so they can have an idea of when the product will be finished. This document is really important because it gave me a deadline to work to, and it is professional and important to meet deadlines, however, i didn't quite meet the deadline for the final version of the advert as the filming took longer than i expected and so it put back the rest of the schedule by about two weeks.

Production schedule location visit

This gives me a clear in sight of how to get to my location, all of the roads that i could take there and  it also shows the room I am going to be filming in. This was not helpful for me because where the location was I already new the roads and routes to get to the location. However in a real life situation this document would be vital to make sure all the cast and crew knew where to go and how to get there on the day of the filming.

Production schedule call sheet

The call sheet is the wholes plan of the day in which i am going to be shooting my advertisement. It it a great way to stay organised when it comes to the day it lets me know where everyone is going to be on the day, what times they are going to be there. This document was very useful as i could give a copy to each member of the cast and crew and then be sure that all the people involved making the film and knew when and where they had to be on the day of the filming and what they had to bring with them.
However, one of the crew was not reliable as I thought they were going to be, as they were late which delayed the filming. So this goes to show no matter how well you plan and prepare, things don't always go according to plan.

Production schedule contact details

This document was one of the most useful as it meant I had the contact details of my actor just incase I need them before i start filming, this can be from rehearsing dates to anything i need him/she for. Also incase of emergencies. I have also put my number down just case i am needed by any member of my crew or by my actor. This was really important on the day of the filming, because on the first day we had to cancel, and I had to let everyone know.

Contingency plan

My contingency plan highlights the potential problems in which could go wrong, such as equipment breaking and my actor being ill, or my transport not arriving on time. I have also on this production said what I am going to do if these problems were to occur.

Risk assessment - My risk assessment was one of the most important plans that I had to make, because it highlighted the potential risks and hazards that could be a problem whilst I would be filming my advertisement. On the risk assessment it had a list in a table of all the risks that could put any of the people on set where I was filming in harms way, and the ways I could deal with them if anything went wrong. This was helpful because it will help me overcome any potential problems on the day of the filming.

Production budget

The Production budget is the prices of my equipment and ever I need to pay for on the day, and the total production budget of the whole advertisement. I did find that it helped but it wasn't really necessary as i knew what was the budget was all together, it can be helpful next time if this was done earlier on.

Storyboard

This should have been really useful as it outlines all the different shots I needed to film on the day and gave me an exact idea of how my advert was going to look. However I only story boarded ten shots on my storyboard, and so really what I have done i have storyboarded about every 6th shot from my advert and so I did not storyboard as much detail as I should have done. A proper storyboard should be much longer and have more detail on it then I one I produced. For my next product I am going to make sure I storyboard each shot individually and also I will produce a shot list and this should make my filming day more productive.
